Cookies policyThis policy explains what personal information ARA Services Ltd collects when you contact us, book work or use this website, what we do with it, how long we keep it and what you can ask us to do about it. It applies to homeowners, tenants, landlords and letting agents alike.
Who we are
ARA Services Ltd is the data controller for the information described here. Our registered office is Suite 14 Hyat Hub, Durning Hall, Earlham Grove, London, England, E7 9AB. You can reach us on 077 2715 4746 or at info@aragas.co.uk, which is also the address for any question or request about your data.
What we collect
Most of what we hold is what you tell us when you get in touch. We do not ask for more than the job needs.
Contact details — your name, phone number, email address and, where you are a landlord or agent, the name of the company you act for.
Property information — the address, access arrangements, and details of the appliances, pipework or wiring we are being asked to work on.
Job records — what was found, what was done, the parts used, meter and appliance readings, test results, and photographs taken on site as evidence of the work.
Correspondence — emails, text messages, WhatsApp messages and notes of phone calls about a quotation or a job.
Billing information — invoices, amounts, and the date and method of payment. Card details are handled by our payment provider and are never seen or stored by us.
Website information — basic technical data such as the pages visited and the type of device used, collected through cookies. This is covered in the cookies policy.
Where it comes from
Usually from you directly, by phone, email, WhatsApp or the forms on this site. Sometimes a letting agent, managing agent or landlord gives us a tenant’s name and number so that an engineer can arrange access. If you have been given our details by someone else, you can ask us at any time who passed them to us.
Why we use it, and our lawful basis
To quote and carry out the work you have asked for — performance of a contract, or steps taken before entering into one.
To issue certificates and notify work — legal obligation. Gas, electrical and building regulations work has to be recorded and, in some cases, notified to a scheme provider.
To keep accounting records — legal obligation under tax and company law.
To remind you when a certificate or service is due — legitimate interests, because a lapsed gas safety record or EICR puts a landlord in breach and a serviced boiler keeps its warranty. You can opt out of reminders at any time.
To deal with warranty claims, complaints and insurance matters — legitimate interests in defending and evidencing the work we have done.
To measure how this website is used — consent, given through the cookie banner and withdrawable at any time.
Photographs taken on site
Our engineers photograph appliances, meters, pipework, boards and completed work. These photographs form part of the job record and are attached to quotations, invoices and certificates. We do not photograph anything beyond what the work requires, and we do not use images of your property in advertising unless you have told us we may.
Who we share it with
We share personal information only where it is needed to do the work or where the law requires it. We do not sell data, and we do not pass it to marketing companies or lead generators.
Gas Safe Register and NICEIC, for registering notifiable work and lodging certificates.
Boiler and equipment manufacturers, to register a warranty in your name or to raise a warranty claim.
The landlord, letting agent or managing agent who instructed us, where the work was booked by them rather than by you.
Subcontractors and specialist trades brought in for part of a job, who are given only what they need to attend.
Our accountants, insurers and IT and communications providers, acting on our instructions.
Regulators, the police or other authorities, where we are legally obliged to disclose or where there is a genuine safety concern.
How long we keep it
6 years
Job records, certificates, invoices and accounting records, counted from the end of the tax year in which the work was done.
Warranty term
Installation records for appliances we have fitted, kept for as long as the guarantee runs so a claim can be supported.
12 months
Enquiries and quotations that did not lead to work.
Until you object
Contact details held for renewal reminders, deleted as soon as you ask us to stop.
Where it is stored, and how it is protected
Records are held on business systems in the United Kingdom and the European Economic Area. Where a provider we use stores data outside those areas, it is done under the safeguards UK data protection law requires. Access is limited to the people who need it, accounts are individually password protected, and engineers’ devices are locked and remotely wipeable.
Marketing and reminders
If you have had work done, we may contact you when a service or certificate falls due, and occasionally about something directly relevant to the system we installed. Every message says how to stop them, and one reply is enough. We do not send unrelated promotions and we do not buy marketing lists.

This site uses a small number of cookies, some of which are needed for it to work and some of which measure how it is used. Which ones, what they do and how to refuse them are set out in the cookies policy.
Your rights
Under UK data protection law you can ask us to do any of the following. There is no charge, and we will respond within one month.
Give you a copy of the personal information we hold about you.
Correct anything that is wrong or out of date.
Delete information we no longer have a reason to keep. Certificates and job records for completed gas and electrical work cannot be deleted while we are required to hold them.
Stop using it for reminders or any other purpose based on our legitimate interests.
Restrict what we do with it while a query or complaint is looked into, or send a copy to another provider.
Withdraw consent, where consent is what we relied on. That includes analytics cookies.
Email info@aragas.co.uk or write to the office address above. We may ask you to confirm who you are before we release records about a property.
Complaints
If you are unhappy with how we have handled your information, tell us first and we will try to put it right. You can also complain to the Information Commissioner’s Office, the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.
Changes to this policy
We update this page when the way we work changes. The date at the top shows when it was last revised, and material changes will be brought to your attention where we hold a current contract with you.
